Special Events Director provides leadership for a centralized event office and is responsible for designing, implementing, and presenting a wide variety of large and smaller scale strategic events and special projects that support the college’s mission. This position takes the lead role in planning and implementing convocation, commencement, college and community lectures, special events including groundbreakings and ribbon cuttings, the president’s art show and gallery exhibitions, seasonal and recognition events, and strategic planning forums.
Under the direction of the Vice President for Institutional Advancement, works with individuals across and outside the College to conceptualize, plan, implement, budget, manage and evaluate successful college-wide events. Leading a staff of professionals, the director works across college divisions and departments coordinating event logistics including, but not limited to, programming, marketing, facilities, food services, technology, procurement and contracts, and parking and security.
Under minimal supervision, directs planning and production of strategic events while working with executive cabinet, senior leadership, faculty, staff, student leaders and volunteer committees across the college. Strong fiscal responsibility required to create and manage event budgets and negotiate contracts while establishing productive vendor relationships. Develops strong working relationships across the college to coordinate event scheduling and all event resources and processes. Leads cross-college and interdepartmental event logistics as well as volunteer event committees.
The director of special events has oversight responsibilities for the South City campus art gallery including managing staff who curate student, staff and community exhibitions and events and is also an advisory member of the
Art Committee which is responsible for cataloging and managing the College’s permanent art collection.
Supervises full time event staff and event volunteers. Serves as a resource to college staff, faculty and administrators who plan divisional, departmental and programmatic events.
This is an at-will position.
Essential Responsibilities and Duties
College-wide Events:
A. Coordinate event logistics including contracts and process for venues, caterers, speakers bureaus, technical equipment, decorations and marketing materials.
B. Maintain communication with supporting departments including marketing, facilities, food services, procurement, and security.
C. Set priorities, solve problems and be resourceful under pressure. Event forecasting, planning, budgeting, and organizing teams.
D- Supervise event facilitator, planning and implementation committees, and volunteers.
Gallery Oversite:
Lead staff in gallery and art committee responsibilities including scheduling, budgeting, communication with artists and inter-departmental coordination to curate, hang/takedown, plan opening receptions and troubleshoot gallery events.
Serve as SLCC Art Committee advisory member and liaison for the South City campus art gallery exhibitions and events.
Represent department at internal and external meeting/functions.

Preferred Qualifications
Experience in higher education staff environment
Experience with large scale event planning and production
Experience with event scheduling software
Experience working across organizational disciplines and with volunteers
Experience with executive administration of special projects in an institutional position
Minimum Qualifications
Bachelor’s degree required in Humanities, Business, Marketing, Communications or related field
Minimum three (3) to five (5) years direct, paid, full-time experience coordinating events
Minimum three (3) years supervisory experience of staff and/or volunteers
Knowledge, Skills & Abilities
Requires deep project management skills including forecasting, planning, communication skills, problem solving, budgeting, leading volunteer committees and organizing teams.
Must be creative, enthusiastic, focused, disciplined, diplomatic, calm under pressure, have an ability to produce quality work, set and meet deadlines, and possess innate problem solving skills.
Must be highly creative and a positive, contributing leader and team member.
Requires excellent verbal and written communication skills including experience writing and editing proposals, delivering staff and volunteer instructions, and reviewing contracts.
Ability to work effectively with administrators and executive level community partners, as well as people at all levels of the organization.
Ability to produce and implement creative and effective event concepts and themes on time and within budget.
Proven ability to manage multiple projects at a time; strong ability to set priorities, solve problems and be resourceful and diplomatic under pressure.
Eye for detail and a passion for the mission of the college and service to the institution.
Ability to work core hours as well as after hours for events.
Serves as the main point of contact onsite during special events including trouble shooting as needed.
Ability to communicate effectively with a broad range of diverse people, ability, culture, ethnic background, to maintain good working relationships across the College.
Ability to work with all groups in a diverse academic, socioeconomic, cultural and ethnic background of community college students, faculty and staff, including those with disabilities.
Must demonstrate proficiency with Microsoft Office products.
